Position Overview
The Member Services Coordinator provides administrative support for the Chief Executive Officer, Operations Manager, staff, Board, and committees, oversees member services and benefits, manages databases, handles website content creation & messaging, and provides support to the organizing of meetings and events.
Key Responsibilities
General Office Duties
-
Responsible for general office duties including electronic storage of files, emailing, faxing, and answering this position’s cell phone.

Manages invoicing and follow ups for advertisements purchased in the Weekly Script, Career Communication, and quarterly Communication Journal.
Administrative Support
-
Provides clerical support by formatting, proofing, finalizing, and distributing correspondence for the Chief Executive Officer and Operations Manager.

Provides administrative assistance to the Board of Directors and committees to schedule meetings, send calendar invites, collation and circulation of Board meeting packages, and post meeting follow-up including posting of attendance records, minutes and actions items in the virtual boardroom.

Maintains the MemberLeap membership database.
Member Communications
-
Website oversight and management including crafting messaging, writing articles, and ensuring information posted is accurate, current, and consistent. Monitoring website traffic, tracking, measuring, and reporting on the level of member interaction.

Analytics tracking, compilation, and reporting statistics gathered from social media platforms used by Pharmacists Manitoba.

Coordinating and drafting messages for weekly and bi-weekly member e-newsletters for circulation.

Development of promotional materials for membership programs and services and maintaining organizational marketing materials that impact members.

Managing advertisements in the quarterly Communications Journal, including contracts, material collection, and invoices.

Content creation, when requested, for the Communications Journal, including writing and formatting articles, potential graphic design and proofing the publication.

Development of Pharmacists Manitoba’s annual report including report writing and formatting.

Assists the CEO in building journalist relationships, manages and tracks media inquiries, and maintains contact records.

Drafts and/or coordinates media releases, statements, interviews, kits, and background materials. Informs senior management of relevant media matters using established procedures.
Membership Support Services
-
Assist members with inquiries to ensure prompt and courteous responses.

Manages membership communications and correspondence—renewals, invoices, and receipts.

Oversight of the Member Benefit Programs including maintaining and updating all existing member benefit contacts, website content, program updates, and research new membership benefits.

Development of promotional materials for membership programs

Ensure marketing resources are current, and that dated information is archived.
Events
-
Provide marketing material to promote events on the Pharmacists Manitoba website.

Development of online registration forms.

Attend organizational events as needed, such as education sessions, the annual conference, student night, and others.

Education
Post-Secondary Education in any of the following, or in combination is preferred:

Administrative diploma or degree

Business Administration
-
Bachelor’s degree in a related field (i.e. Arts or Science)
Qualifications
-
Familiarity with working remotely in office administration.
-
Understanding of Board and committee governance procedures.
-
Demonstrates a strong collaborative approach and experience in developing and executing communication strategies.
-
Proficiency in Microsoft Office 365, graphic design tools (such as Canva, Photoshop, or InDesign), and website development and updating are essential.

Database management experience with MemberLeap is an asset.
-
Experience using social media to post updates - Facebook, Instagram, or LinkedIn pages - is an asset.

Fundamental understanding of QuickBooks Online, accounts receivable, and tracking invoice payments in arrears is an asset.

Demonstrates a strong commitment to effective collaboration with staff, board members, volunteers, and stakeholders.

Strong writing, editing, and verbal skills; highly detail oriented.

Demonstrates sound decision-making abilities.

Experience
-
Experience with volunteers and healthcare professionals within a non-profit setting is considered beneficial.

Preferred qualifications include maintaining databases, creating communications or content, social media marketing, website management, and providing general office support.
Work Environment
-
Pharmacists Manitoba operates in a fully remote environment.
-
The Member Services Coordinator is provided with essential office equipment, a cell phone, office supplies, and other amenities that may be required to work remotely.
Hours of Work
8:30 am to 4:30 pm five days per week Monday to Friday. Hours may vary for pre-scheduled Board or committee meetings, as well as events.

Compensation and Benefits

Salary: $42,000 to $45,000 annually, commensurate with experience and qualifications
